Robert Half's client is looking for a Staff Accountant to serve one of our major clients. The position is primarily focused on accounts payable under the direction of an Accounting Manager and will process, track and record payments in an accurate, efficient and timely manner.

This role will be based in Palo Alto, California and will require to work in the office at least four days per week.

 

WHAT YOU WILL DO

  • Prepare payments for vendors by obtaining authorized approvals or matching payment to pre-approval documents; monitoring discount opportunities; verifying wire instructions; scheduling and preparing checks; resolving discrepancies and documentation on purchase orders, contracts, invoices, or payments; insuring credit is received for outstanding memos; issuing stop-payments or purchase order amendments.
  • Scan payment documents and maintain electronic filing system.
  • Collect, open, and sort mail to separate finance related documents.
  • Collect W9s from vendors and update 1099 spreadsheet.
  • Respond to vendor inquiries.
  • Assist team in preparing and reconciling monthly expense reports including verification of approvals and coding.
  • Prepare monthly credit card summary approval report.
  • Prepare monthly inter-company bill backs.
  • Prepare check deposits for various entities.
  • Assist in preparing monthly/quarterly reports and annual budget templates.
  • Request and track all charitable acknowledgement confirmations.
  • Work with spreadsheets and pivot tables to create basic analytics and schedules.
  • Respond to after office hours emails and requests as needed.
  • Other ad-hoc projects as assigned.

ACCOUNTABILITIES

  • Accurate and timely processing of invoices.
  • Maintain accurate books and records.
  • Ensure confidentiality of client’s records and files.

KNOWLEDGE AND SKILLS

Knowledge:

  • Bachelor’s degree in accounting, finance or a related field preferred.
  • 2+ years Accounting experience. Preferably with individual accounting and bill pay, small companies or family office.

Skills

  • Strong verbal and written communication skills.
  • Ability to multi-task and work in a fast-paced environment with tight deadlines.
  • Excellent organizational, time management and customer service skills; detail-oriented; team player.
  • Family office experience highly preferred.
  • Comfortable working in a fast paced and high volume environment.

WORKING CONDITIONS:

  • Professional office environment sensitive to work-life balance with 4 days a week in office and 1 day with the ability to work from home. The candidate must be able to commute to the office in Palo Alto.
