Our Opportunity

(SPSCC) seeks a highly motivated and qualified individual for the position of Program Specialist 2 in the Foundation.

As a key member of the College's Foundation team, the Program Specialist 2 (PS2) will play a crucial role by coordinating a variety of fundraising events and donor engagement activities in support of the Foundation's mission and strategic plan. The PS2 will oversee the planning and execution of events, coordinate donor stewardship and communications, and ensure effective outreach and recognition efforts. This role also involves coordinating with vendors, donors, and community members, maintaining accurate donor data, and providing administrative support to enhance the overall effectiveness of the Foundation's initiatives.

What You'll Do


Event Planning & Coordination
  • Planning and coordinating all logistics including venue booking, catering, recruiting volunteers, set up for fundraising and stewardship events.
  • Preparing and overseeing event budgets, tracking all expenses and staying within the allocated budget.
  • Ensuring sponsors are acknowledged appropriately before, during, and after events.
  • Coordinating all event-related communications in collaboration with the development team including invitations, confirmations, and thank-you notes.
  • Coordinating with vendors to ensure timely delivery of goods and services.
  • Maintaining and updating attendee lists, managing RSVPs, and tracking event attendance
Donor Engagement Activities
  • Supporting the development team's communications plan by drafting and scheduling social media posts and engaging with followers.
  • Designing items like event signage, donation forms, QR codes for donations, and social media post images for special events, sponsor recognition, and campaigns.
  • Coordinating the printing of marketing and stewardship materials.
  • Developing and maintaining mailing and contact lists for event promotions, invitations, and follow ups, and managing and executing mail merges.
  • Working with external vendors to design and order promotional items and services.
  • Setting up and managing automated communications for donor milestones.
  • Preparing materials and packets for new donors.
  • Ensuring that all sponsor benefits are delivered promptly and consistently.
  • Representing the Foundation at community and SPSCC events.
Donor Data Maintenance
  • Entering and tracking donor appeals in the Raiser's Edge donor management database.
  • Updating and maintaining donor information to ensure accuracy.
  • Assisting with general data entry.
  • Assisting development team with donor prospecting and research.
Office Administrative Support
  • Monitor inventory and manage organization and maintenance of items in Foundation storage spaces.
  • Serve as backup to the Foundation Executive Assistant for critical office functions including handling incoming and outgoing mail, processing donations and maintaining check logs, and providing coverage for main Foundation phone line and email inbox.
  • Other duties as assigned.

Qualifications You Possess


Minimum Qualifications
  1. Positions typically require a Bachelor's degree or equivalent education/experience.
  2. Strong organizational skills, attention to detail, ability to work independently and prioritize multiple tasks, maintain office confidentiality, and accommodate numerous interruptions.
  3. Excellent communication skills and the ability to work well with others and function as a team member.
  4. Proficient working with computers and software applications, specifically MS Office suite: Word, Outlook, Excel.
  5. Experience with relationship database systems, including data entry and reporting; familiarity with Smartsheet, and Raiser's Edge a plus.
